Office Administrator

Reports to: Executive Director

Position Status: Fulltime, or part time

Salary Range: $57,000-$70,000 (for full time)

Start Date: Applications accepted now until the position is filled, starting as soon as possible

Location: Better Future Project office is located in Cambridge, Massachusetts. We operate on a hybrid work schedule with employees typically in the office two days a week and working remotely two days. 

The Better Future Project currently operates on a 4 day work week schedule, where 32 hours constitutes a full work week.

Job Description

Better Future Project is looking for an Office Administrator to lead the management of our administrative functions in coordination with our staff of 6. The core functions of this role include: administering payroll, benefits, insurance, ensuring compliance with state and federal nonprofit regulations, managing accounts payable and receivable, and financial management including budget preparation

We are considering both part-time and full-time candidates for this position. Part-time candidates will focus on the operations and administrative functions while full-time candidates could also contribute to other aspects of our work including fundraising, communications,database management, and/or other program related roles. The Office Administrator will work under the supervision of our Executive Director and will collaborate with our Development Manager, our CPA (certified public accountant), and HR consultancy.

Better Future Project works to build a diverse, powerful, and democratic grassroots movement that will drive society to mitigate climate change and prepare for its devastating effects. 

Our programs include 350 Mass, the Make Polluter Pay Campaign, and CREW (Communities Responding to Extreme Weather).  BFP is a federally recognized 501(c)(3) non-profit. 

This position will also include responsibilities for tracking the expenses and managing the finances of Better Future Action, a 501(c)(4).

Duties and Responsibilities 

Payroll and Human Resources

  • Manage payroll and tracks paid time off
  • Ensure compliance with state and federal labor regulations
  • Develop employment policies that reflect best practices and promote a stable, productive atmosphere for Better Future Project staff

 

Operations

  • Manage the hiring and orientation processes for staff and interns. 
  • Ensure that local, state and federal regulations are followed and associate reporting requirements completed.
  • Maintain organizational insurance and communicate with insurance agents as needed.
  • Understand and ensure compliance with state and federal lobbying laws.
  • Maintain inventory of office supplies, including ordering and tracking program allocation.
  • Manage and support technology needs of the organization
    • Setup and maintain computers and printers.
    • Manage software licenses; administers, creates accounts and provides support for Google Apps, Slack, LastPass, Nationbuilder, Zoom, Asana, and Keeper.

 

Finance

  • Process finance operations including processing deposits, payables, reimbursements, and invoicing in the organization’s accounting software (QuickBooks) on an ongoing basis. 
  • Ensure expenses are properly tracked to relevant programs for restricted grants.
  • Work with our contracted CPA to review monthly financials, assist in the preparation of our annual audit, and implement proper accounting controls.
  • Manage the organizational budget on a regular basis and lead the process to develop an annual budget.
  • Keep a separate budget and finance report for Better Future Action, our 501(c)(4) and track any staff time to be reimbursed by that entity.

 

Other responsibilities could include:

  • Maintain the organization’s employee handbook and oversee employment policies
  • Manage the performance evaluation process in collaboration with the ED
  • Manage human resources issues in collaboration with an HR consultant
  • Assist with the execution of fundraising campaigns

Qualifications and Experience

  • Bachelor’s degree in relevant field (e.g., communications, nonprofit management, English, psychology) or equivalent work experience
  • At least 2 years’ work experience 
  • Knowledge of labor regulations and employer best practices
  • Experience with Google Suite, familiarity with QuickBooks is also a plus
  • Fundraising and/or CRM database experience such as NationBuilder or Salesforce
  • Proficiency with spreadsheets
  • Excellent verbal and written communication skills
  • Ability to prioritize under deadlines and juggle multiple tasks at once
  • Strong project management skills
  • Ability to handle sensitive information with discretion
  • Passion for grassroots organizing, movement-building, and climate justice

 

Salary and Benefits:
This is a salaried, full-time position with a salary band of  $57,000-$70,000. Compensation will be proportionate for a part-time role. Salary for either the full or part-time role is negotiable based upon experience.

The Better Future Project currently operates on a 4 Day work week schedule, where 32 hours constitutes a full work week.

Better Future Project is hiring three paid interns for Summer 2024 to support 350 Mass, a statewide, grassroots, climate justice organization, and CREW (Communities Responding to Extreme Weather), a climate resilience service organization. These internship positions are in partnership with the Mass Clean Energy Center's Clean Energy Internship Program. In order to be eligible for either internship, you must:

  • Currently attend a college/university in Massachusetts and have already completed at least one semester 
  • OR Have been a college student in the last year and can provide current proof of current residency in Massachusetts.
  • Undergraduates must have completed 24 credits to qualify. Please take note if you are a first-year student.

350 Mass is looking for 2 Organizing Interns to support our statewide, grassroots, climate justice organizing network.

CREW is looking for 1 Community Engagement Intern to support our Climate Resilience Hub network and other projects.
